NAS for Retail Chain Enterprise

In the competitive landscape of Indonesian retail chains, managing vast amounts of data across multiple locations is a critical challenge. A Network Attached Storage (NAS) solution provides a centralized, scalable, and secure platform for storing, sharing, and protecting business-critical data. For enterprise retail operations, NAS goes beyond simple file storage; it serves as a foundation for backup and disaster recovery, surveillance storage, and collaboration. By leveraging high-performance NAS appliances from leading vendors such as Synology and QNAP, combined with robust backup software like Veeam, retail chains can achieve near-zero Recovery Point Objectives (RPO) and Recovery Time Objectives (RTO). This solution is essential for ensuring business continuity, protecting against ransomware, and meeting compliance requirements. Intilogy's NAS for retail chain solution is tailored to handle the unique demands of the Indonesian market, including multi-site replication, bandwidth optimization, and integration with existing IT infrastructure. With centralized management, IT teams can monitor and control storage resources across hundreds of stores, reducing operational overhead and improving data availability. The result is a resilient, high-performance storage backbone that supports daily operations, analytics, and long-term growth.

01

Client Profile & Background

A leading retail chain in Indonesia operates over 200 stores across Java, Sumatra, and Kalimantan, with a centralized warehouse in Jakarta. The company handles daily transactions, inventory management, and employee data, generating terabytes of data monthly. Their IT environment consists of a mix of on-premises servers and cloud services, with each store running local file servers for POS data and operational documents. The headquarters manages centralized ERP and HR systems, while regional offices require fast access to shared files and reports. The company is expanding rapidly, adding 10-15 new stores annually, and needs a scalable storage solution that can keep up with growth without compromising performance or security.

The retail chain's IT team, comprising 15 members, is responsible for maintaining data integrity and availability. They previously relied on direct-attached storage (DAS) and simple file shares, which led to data silos and increased management complexity. The company's leadership recognized the need for a centralized, enterprise-grade storage solution to support their digital transformation initiatives, including real-time analytics and omnichannel operations. They sought a partner like Intilogy to design and implement a robust NAS infrastructure that could unify data across all locations.

Technical Challenge

The retail chain faced severe data management issues. With over 200 stores, each running local file servers, data was fragmented and difficult to back up consistently. The backup window was 12 hours, often exceeding the available overnight window, leading to incomplete backups. Recovery from failures took up to 48 hours due to manual processes and lack of centralized recovery tools. Additionally, the company experienced two major ransomware incidents in the past year, resulting in 10 TB of encrypted data and a week of downtime. The lack of immutable backups and air-gapped storage made recovery impossible without paying ransom.

Another critical challenge was the inability to scale storage efficiently. Each store's local server had limited capacity, requiring frequent upgrades and causing data migration headaches. The total cost of ownership (TCO) was high due to redundant hardware and management overhead. Furthermore, the company needed to comply with Indonesia's data localization regulations, requiring that all transactional data be stored within the country. The existing infrastructure could not guarantee data sovereignty or provide the performance needed for real-time inventory tracking and reporting.

Implemented Solution

Intilogy designed a centralized NAS solution using Synology RackStation RS3617RPxs and QNAP TS-1685 units at the headquarters, configured in a high-availability cluster with 100 TB usable capacity. Each store was equipped with a Synology DS220+ for local caching and failover, connected via site-to-site VPN. Veeam Backup & Replication was deployed to manage backups across all locations, with immutable backups stored on a separate Synology NAS at a remote data center. The solution included disaster recovery orchestration, ensuring RPO of 1 hour and RTO of 4 hours.

For data protection, we implemented Veeam with cybersecurity features like ransomware detection and instant recovery. The NAS systems were configured with snapshots every 4 hours and replication to the DR site every 6 hours. We also integrated Synology Active Backup for Microsoft 365 to protect cloud data. The entire infrastructure was managed via a centralized console, allowing the IT team to monitor storage health, performance, and backup status in real-time. This solution reduced hardware footprint by 60% and simplified management across all stores.

Results & ROI

The implementation yielded significant improvements. Backup failures dropped from 30% to 0%, and the backup window reduced from 12 hours to 2 hours. RPO improved from 24 hours to 1 hour, and RTO from 48 hours to 4 hours. The company successfully recovered from a ransomware simulation within 2 hours without data loss. Storage costs decreased by 40% due to consolidation and use of high-density NAS units. The centralized management reduced IT overhead, freeing up 5 staff members for other projects.

Operationally, store employees now access files 3x faster, and the headquarters can run real-time analytics on consolidated data. The solution also ensured compliance with data localization laws, as all data remained within Indonesia. The company projects a 200% ROI over three years, considering reduced downtime, lower hardware costs, and improved productivity. The scalable architecture allows easy addition of new stores without major infrastructure changes, supporting the company's growth plans.
